Understanding Google Drive Share Notifications in SaneBox
What to Know About G Suite Document Sharing:
When someone using G Suite shares a Google Doc or Drive file, you’ll receive a notification email. However, these emails have some quirks that affect SaneBox:
- Sent from a System Address: Regardless of who shares the document, the email comes from a generic address like “drive-shares-noreply@google.com,” not the sender’s personal email.
- Limited SaneBox Training: Due to the single system address, SaneBox can only create one training rule for all these notifications. This means you can’t filter them based on individual senders.
What You See:
- From Line: The notification will display the sender’s name (from their G Suite account) followed by “(via Google Docs)” in the “From” line.
- Subject Line: The subject line typically shows the name of the shared document.
- SaneBox Training: In your SaneBox training list, these notifications will appear as “Google Drive.”
Additional Notes:
- Regular Gmail Accounts: Free Gmail accounts send sharing notifications directly from the sender’s email address, allowing for more granular SaneBox training.
- “Email as Attachment” Option: Similar to sharing, the “Email as Attachment” option in Google Docs/Drive uses a system address, not the sender’s email.
Key Points:
- Look at the sender’s name within the “From” line, not the system address.
- Only one global SaneBox training applies to all G Suite document sharing notifications.
